Key Responsibilities

Project Planning & Scheduling

  • Develop, maintain and update detailed project plans, schedules and milestone trackers.

  • Track project progress against agreed baselines, identifying slippage, dependencies and potential delivery risks.

  • Work with Project Managers and delivery teams to understand activities, resource requirements and critical milestones.

  • Support the management of interdependencies across projects and workstreams.

  • Monitor key dates, deliverables and actions, ensuring plans remain accurate and up to date.

  • Support impact assessments for changes to scope, timelines or delivery priorities.

PMO Governance & Reporting

  • Maintain project governance documentation, reporting packs and planning artefacts.

  • Produce regular progress reports, highlighting milestones, risks, issues, dependencies and exceptions.

  • Support project governance meetings, including preparation of agendas, updates, actions and minutes where required.

  • Maintain RAID logs (Risks, Assumptions, Issues and Dependencies) and track actions through to resolution.

  • Ensure project information is accurate, consistent and available to support effective decision-making.

  • Support compliance with established project management processes and reporting standards.

Stakeholder Engagement

  • Work closely with Project Managers, Delivery Managers and technical teams to gather planning information.

  • Engage stakeholders to validate schedules, confirm progress and resolve planning discrepancies.

  • Communicate schedule changes, emerging risks and potential impacts clearly.

  • Build effective working relationships across the client environment and wider delivery teams.

  • Provide reliable planning information to support governance forums and senior stakeholder reporting.

Continuous Improvement

  • Identify opportunities to improve planning processes, reporting and PMO controls.

  • Promote consistent approaches to scheduling, milestone tracking and project documentation.

  • Develop and maintain templates, trackers and planning tools to improve efficiency and visibility.

  • Support lessons-learned activities and the continuous improvement of project delivery practices.

Essential Skills & Experience

  • Proven experience in a PMO, Project Planner or project controls role.

  • Strong experience developing and maintaining project plans, schedules and milestone trackers.

  • Experience monitoring delivery progress, dependencies, risks and issues.

  • Confidence producing project reports and governance documentation.

  • Strong organisational skills and excellent attention to detail.

  • Effective communication and stakeholder management skills.

  • Proficiency with Microsoft Office, particularly Excel and PowerPoint.

  • Experience using project planning tools such as Microsoft Project, Primavera P6 or equivalent would be beneficial.

  • Ability to manage competing priorities and work effectively with multiple delivery teams.

  • A proactive approach, with the confidence to challenge inaccurate information and follow up on outstanding actions.

Desirable Experience

  • Experience working in complex, technical or highly governed delivery environments.

  • Familiarity with project controls, change control and baseline management.

  • Experience supporting multiple projects or workstreams within a wider programme.

  • Knowledge of Agile, Waterfall or hybrid delivery methodologies.

  • Experience working within public sector, defence, technology or secure client environments.
